Who we are

The data controller for this website is Promatic Ltd, trading as Glazing Counter (company number 16540008, registered in England and Wales; registered office Unit 10 Hill Park Farm, Wrotham Hill Road, Sevenoaks, TN15 7QA; VAT number GB520226441). For any privacy question or request, email orders@glazingcounter.co.uk.

What we collect

When you place an order request we collect your name, company name (optional), email address, phone number, delivery address and postcode, any notes you add, the products and options in your basket, and whether you asked for trade pricing. If you email us we keep your email and our reply. Our hosting provider keeps short-term technical logs (such as IP address and request time) for security and to keep the site running.

How we use it

We use your details only to process your order: to check your specification, contact you about it, send your order confirmation and invoice, arrange delivery, deal with any after-sales issue, and keep the records we are required to keep for tax and accounting. We do not sell your data and we do not use it for marketing unless you separately agree.

Legal basis

Under the UK GDPR and the Data Protection Act 2018 we rely on contract (taking steps at your request before entering into a contract, and performing it), legal obligation (accounting and tax records) and legitimate interests (keeping the site secure and handling queries).

Who we share it with

We share only what is needed with: our website host (Vercel Inc.); our email provider (IONOS); our accounting software (Xero), used to create invoices; the manufacturer of your products, for your specification and delivery address; and our delivery partners. Some of these providers may process data outside the UK, in which case appropriate safeguards such as the UK International Data Transfer Addendum or adequacy regulations apply.

How long we keep it

Order and invoice records are kept for six years after the end of the financial year they relate to, as required for tax purposes. Order requests that do not go ahead are deleted within 12 months.

Your rights

You have the right to access, correct or delete your personal data, to restrict or object to its use, and to data portability. Email orders@glazingcounter.co.uk to make a request. If you are unhappy with how we handle your data you can complain to the Information Commissioner’s Office at ico.org.uk.
